Trust Administrator / Personal Assistant

This newly established Waikato law firm, based conveniently between Hamilton and Cambridge, is looking for an experienced Trust Administrator & Personal Assistant to join their growing team.
You will work closely with the partners and play a key role in trust account administration, client communication, and day-to-day operations. This is a diverse, hands-on role where your accuracy, initiative, and sense of humour will be valued.
About the job
In this role, you will be key to keeping the practice running smoothly behind the scenes. You will bring structure to busy days, accuracy to the numbers, and a sense of calm while supporting a dynamic legal practice. Your key responsibilities include:
- Daily management of the trust accounts
- Client database management
- Preparation of end-of-month billing, invoicing, receipting and monthly statements
- The drafting of client correspondence and assisting with AML compliance
- Supporting partners with diary management, email coordination, and document formatting
- Keeping the office (and the partners) organised and on track
About you
You are someone who takes pride in doing things well — reliable, detail-focused, and confident juggling a broad range of responsibilities. Your background in administration or trust accounting means you know what good systems look like, and you are not afraid to take the initiative to make things even better.
- 2+ years’ experience in a law firm or similar professional services environment
- Solid understanding of trust accounting or general bookkeeping
- High attention to detail and a knack for keeping multiple plates spinning
- Excellent written communication and a personable approach with clients
- Proficiency with Microsoft Office and practice management software (LEAP experience an advantage)
- A proactive, flexible attitude and willingness to pitch in wherever needed
